Certified Mail Receipts provide proof of delivery for mailed letters or documents, with a unique tracking number and signature required upon delivery. Industries such as real estate use them to ensure legal documents are received. The USPS delivers and distributes certified mail, with no cost for supplies but extra postage required. Return receipt labels can be attached for the sender’s benefit. Certified mail is similar to an official courier service.

A Certified Mail Receipt allows senders to verify that recipients have received a mailed letter or document. Each piece of certified mail has a unique tracking number printed on the receipt. A receipt is filled out with sender’s name, recipient’s name and address, and total postage. Once the recipient signs for the letter, the sender receives a copy of the signature and the delivery date.

Industries dealing with legal documents and notices, such as real estate, must obtain proof that such documents and notices have been received by their intended recipients. For example, a landlord needs proof of late rent and eviction notices in order to proceed to the next action. The language of the lease agreement usually offers the tenant some sort of protection, such as three days notice to repay the rent owed, before an eviction can take place. Since certified mail requires a signature to be delivered, it is a way to obtain written documentation that the tenant has received notice.

The United States Post Office delivers and distributes certified mail. A Certified Mail Receipt can be obtained from any United States Post Office or through the agency’s online store. It costs nothing to get certified mail supplies, but it does cost extra postage to send certified mail.

Filling out a certified mail receipt is quite simple. The receipt is attached to the side of the postal envelope, with the certified barcode and tracking number remaining on the postal item. A perforated portion is filled in with applicable postage and the recipient’s name and address. Colored green, a certified mail receipt contains the tracking number on both portions.

Return receipt labels can be attached to the back of the mailing envelope. This is what is returned to the sender once the recipient’s signature is obtained. The return receipt label will have the sender’s name and the recipient’s name. At the bottom is a place for the recipient of the mail to sign.

Proof of delivery isn’t the only benefit of a certified mail receipt. Senders can use the tracking number to see if the notice has been delivered in case the return receipt is lost in the mail or the sender does not want to pay for the return receipt service. Certified mail is somewhat equivalent to delivering a document via an official courier.
