An accurate and professional invoice should include the word “invoice” in large type, contact information for both the billed person/company and billing company, a clear explanation of what the invoice is for, and a total amount owed. It should also have a number and submission date for tracking purposes.
An invoice requires multiple parts to be accurate and professional. First of all, the word “invoice” should be placed in large type at the top and center of the card.
Below this and to the left, the name and contact information of the company or billed person should be listed. This includes the postal address if the invoice is to be mailed. If the document is created for self-employment, however, a postal address may not be needed or even known. In this case, the email address or other relevant contact information should be listed.
Below the name and contact information for the billed person or company, the invoice must include the name and contact information of the billing company. This ensures that the client or customer has the information they need to send payment. Again, if the work is being completed as a freelancer and payment will be handled online, the online payment information should be included in this part.
The invoice should also contain information explaining what the invoice is for. If it’s products, for example, it should include a list of the items the customer has purchased. If the invoice is for services, the document must list the services that were rendered and under what conditions.
If the services were for a project and the payment amount was a previously agreed lump sum, this should be listed on the invoice. If, on the other hand, the deal was an hourly rate, the number of hours billed should be included. It may also be helpful to indicate the dates on which services were rendered. At the bottom, the total amount owed for the services or products should be listed. This portion should be clearly stated as the total amount due to avoid confusion.
To help track invoices and to help the client or customer track what they have paid, the document should also have a number. This number should be in the upper right corner. The invoice submission date should be included next to this number.
