Debits are uncollectable receivables that are removed from accounts receivable to calculate current balance. It does not mean the debt will not be collected, and companies use it to identify unpaid invoices. If a debt collection agency cannot guarantee payment, an amended invoice is created. Debiting removes bad debt and keeps accounts receivable up to date.

Debits are receivables that were previously recorded as accounts receivable but are now considered uncollectable for some reason. The purpose of the debit is to allow a controlled procedure to take place which will exclude the inclusion of the uncollected credit in the calculation of the current balance in Accounts Receivable. Therefore, a debit is a simple write-off that removes one item from your expected net income.

The debit does not mean that there will no longer be any attempt to collect the outstanding debt from the debtor. Rather, using a chargeback simply means that the debit amount will no longer be reflected in accounts receivable for the purpose of determining how much income remains to be collected from outstanding invoices issued to customers. Any invoices debited or canceled from the main accounts receivable section will still remain in the company’s overall financial records. Usually, the written off amount is referred to as bad debts.

Many companies have a policy of using the chargeback to identify outstanding invoices that remain unpaid long after payment is due. In order to avoid using a charge discount, businesses can choose to send periodic reminders up to 120 days after the invoice due date. After that, the invoice can be debited, removing it from accounts receivable and handed over to a debt collection agency for further action.

In the event that the collection agency is unable to guarantee payment of an outstanding invoice, the company will often create an amended invoice or other means to allow for receipt of the value of the original invoice, less any fees charged by the agency of collection. The original charge is not normally reversed, although some companies prefer to go through this process and simply change the outstanding balance to match the amount collected and sent by the collection agency.

Debiting is a useful way to remove bad debt from a company’s accounting records. This approach helps keep the current Accounts Receivable figure up to date and provides the business owner with realistic figures on what income can be reasonably anticipated over the next one to three months.
