An applicant tracking system (ATS) can make HR management easier and less time-consuming by collecting and organizing candidate information. It can also track leads and sources for potential recruits. ATS is more user-friendly than traditional filing systems and can prioritize resumes based on specific criteria.

Abbreviated ATS, such a system provides the ability to collect a large amount of information in one place for corporate recruiting needs and other functions. A custom candidate tracking system can help make HR management easier and less time consuming. Since time is money in business, such a system should conceivably pay for itself in a short time.

There are several options for small, medium and large businesses, as well as for different types of businesses. Much of the recruiting business can be handled through computers with an applicant tracking system rather than through mountains of paperwork. One useful feature is the ability to send specific screening questions to a candidate based on the position they are applying for. By keeping questions — and answers — on topic and to a minimum, using only candidate-specific and necessary information, the recruiting officer can save a lot of time.

An applicant tracking system is useful not only for collecting resumes or applications, but also for organizing them according to predetermined criteria. An archive filled with resumes is usually sorted alphabetically, to keep the system simple. An ATS offers much greater flexibility. If a company prefers a bilingual candidate or one with some other special ability, even though that ability isn’t necessarily a requirement, the company may choose to rank resumes in a way that prioritizes those with special abilities.

Other data can also be tracked with an applicant tracking system. An ATS is generally much more user-friendly than a typical filing system. Since space is not as much of an issue as when using paper files, much more information can be stored for longer periods of time. This also allows for easier performance appraisals and creates an easier system for promotion from within.

Another option is to use an applicant tracking system to track leads or sources through which companies can find suitable candidates. Technical schools in a particular field may publish a list of prospective graduates, which could become a fertile source of new recruits for a company in that field. Job boards or those that post resumes can also be good leads, which can be tracked with an ATS. Some systems will also allow mass posting on such boards, detailing the company’s opportunities and requirements for job seekers.
