Teleconferencing software allows people in different locations to communicate via telecommunication systems. There are three types: audio, video, and multimedia. It saves time and money for large organizations and can be managed in-house or through a service provider.

Teleconferencing software is a computer program used to allow several people in different locations to listen and talk together using a telecommunication system. This type of software is usually used in international business, but it can also be found in organizations with branches located in different parts of a country. There are three types of teleconferencing software: audio, video and multimedia.

The main purpose of teleconferencing software is to remove communication barriers created by physical distance. Multiple people in different locations can join the same call. The software is very cost effective for large organizations and saves valuable time while improving communication.

Audio-only teleconferencing is the most common. If using an internal software program, all callers access the software by dialing an internal number. The program manages all the different users and ensures connection to the correct conference through the use of a caller identification number. When using a service provider, participants typically dial a 1-800 number and enter a conference ID number to join the call. The main difference is in costs.

Video teleconferencing has all the same features as audio-only teleconferencing, but adds a visual component. This method is used in situations where it is advantageous to see the other participants. Everyone should have a webcam or similar device to act as a video source. Participants can often modify the screen to view everyone simultaneously or just the person speaking.

Multimedia teleconferencing software adds desktop software functionality to the experience. Call participants can access a specific Internet Protocol (IP) address and allow other participants to see exactly what is on their computer screen in real time. This is an excellent tool for showing software features, sharing information, or demonstrating a specific function.

There are two ways to manage teleconferencing software: in-house or through a service provider. Very large companies with a network of branch offices may find it more cost effective to implement and support teleconferencing software in-house. Many of these companies have already invested in a telecom software package to manage all of their phone and fax lines. In many cases, teleconferencing is an additional module of the same software.

A third-party service provider offers access to the teleconferencing software either through an annual contract or a per-use fee. The list of features provided typically ranges from basic phone-only calling to Internet-based teleconferencing for large numbers of people. The cost of this service is usually linked to the number of simultaneous participants and this represents the use of resources.
